Great Barrier Reef Foundation ZooX™ Ambassadors Program Privacy Statement

1.    Our approach to privacy

The Great Barrier Reef Foundation (GBRF, we or us) respects your privacy.  We have developed our own privacy principles, which embody the National Privacy Principles in the Privacy Act 1988 (Cth.) (the Privacy Act).

2.    This privacy statement and your consent

(a)    This privacy statement describes:

(i)    the information we collect about individuals (referred to in this privacy statement as you) who participate in our ZooX™ Ambassadors Program (the ZAP), including anyone who uses all or part of "The Learning Journey" software application made available by us to educate you about climate change, coral reefs, sustainability and the ZAP (the Learning Journey);
(ii)    the means of collection; and
(iii)    how that information may be used.

(b)    This privacy statement is available to view online at www.zoox.com.au. We can also mail or email you a copy of our privacy statement on request to our Privacy Compliance Officer (see section 9 below).

(c)    You must read this privacy statement and provide us with certain information and your consent before you participate in the ZAP (including the Learning Journey). By participating in the Learning Journey or the ZAP you provide us with your express consent to use your information in accordance with the terms of this privacy statement.

3.    Collecting your information

3.1    Why GBRF collects personal information and your freedom to choose

(a)    GBRF collects your personal information (i) to conduct and improve the ZAP, including the Learning Journey,

(ii) to successfully recruit ZooX™ Ambassadors, (iii) for the purposes described at section 4.1 below and (iv) for purposes reasonably incidental to these purposes. GBRF collects only personal information that it considers is necessary for these purposes.

 (b)    You may choose not to consent to the collection of your personal information. If you choose not to supply mandatory personal information you may not be able to take part in the Learning Journey or the ZAP.

3.2    How GBRF collects personal information and what information GBRF collects
GBRF will collect information only by lawful and fair means and not in an intrusive way. GBRF collects information in a number of ways including:

(a)    when you register to participate in the Learning Journey or the ZAP and when you log in and out of the Learning Journey or any other website or application made available as part of, or as a precursor to, the ZAP. The information we collect may include your name and employee number, how many questions you complete and whether you would like to receive further information about GBRF;

(b)    from our own or our service providers' records of how you use such websites or applications or any other service we may make available in connection with the ZAP; and

(c)    collection directly from you:

(i)    when you provide your personal details in an application form;
(ii)    when you respond to the ZAP recruitment questions;
(iii)    when you provide us with feedback in relation to the ZAP, the Learning Journey or a field trip; and
(iv)    if you take part in a field trip, in relation to your needs for the field trip.

3.3    GBRF does not collect sensitive information nor government identifiers
We do not collect any information about your race, political opinions, religious or philosophical beliefs, professional or trade unions, sexual activity, criminal history or health information (except health information you choose to provide with a view to a safe and enjoyable ZAP field trip). GBRF does not collect or use any Commonwealth government identifiers such as tax file numbers or Medicare numbers.

 4.    How we use and disclose your information

4.1    What your personal information may be used for

(a)    GBRF may use the information that we collect from you so that we can:

(i)    conduct the ZAP, the Learning Journey and related field trips;
(ii)    conduct research about how you participate in the ZAP, the Learning Journey and any field trip so that we can develop and improve our services and operations;
(iii)    ensure that your needs in relation to a field trip are met;
(iv)    successfully recruit ZooX™ Ambassadors;
(v)    develop GBRF marketing material (for example we may use quotes from feedback that you have provided to us);
(vi)    keep you informed about the work of GBRF;
(v)    personalise any correspondence that we may send you;
(vi)    contact you about your enquiries, about your needs or about your interest in the ZAP;
(vii)    contact you about your experiences regarding the ZAP;
(viii)    provide general feedback to your employer or the person referred to at 4.2(a)
(iv) belowand each of these is a primary purpose of collection for the purposes of the Privacy Act.

 (b)    We may also disclose your personal information if required to do so by law or legal process.

4.2    With whom we may share your personal information

(a)    Your personal information may be disclosed only to:

(i)    those persons reasonably necessary to facilitate or achieve the purposes described in this privacy statement;
(ii)    Energetics (as a GBRF partner in the ZAP program), and other service providers, for the purposes of administering the GBRF ZAP participant information database;
(iii)    the "program faculty" for the ZAP from time to time, which consists of representatives from various academic and business organisations, including GBRF, who deliver ZAP material.
(iv)    the person with whom GBRF has entered into a funding agreement in relation to the ZAP and through whom your right to participate in the ZAP is derived; and
(v)    your employer, for the purposes of providing feedback about your interest and participation in the ZAP.

(b)    We use certain third party service providers to assist us in operating the ZAP and to host the Learning Journey and these persons may collect your information on our behalf or receive your information from us for that purpose (or any other purpose described in this privacy statement).

(c)    Where your information is disclosed to a person external to GBRF, we generally require that third party to protect your information in the same way we do.

(d)    GBRF does not sell or rent out your personal information.

4.3    Contacting you
We may contact you for any of the purposes described in this privacy statement or to verify the accuracy or currency of the information we hold about you. If we do this, we will generally do so by post, email or telephone (depending on the contact details we hold for you).   

5.    Cookies and security

(a)    A cookie is a small message given to your web browser by a web server. The browser stores the message in a text file and the message is then sent back to the server each time the browser requests a page from the server. The Learning Journey does not use cookies. Where we make available to you as part of, or as a precursor to, the ZAP any application or website that uses cookies, they are used to store information relating to your visit or usage such as a unique identifier, or a value to indicate whether you have seen a web page. They are used to distinguish your internet browser from the thousands of other browsers. We will not store personal information such as email addresses in a cookie. Most internet browsers are set up to accept cookies. If you do not wish to receive cookies, you may be able to change the settings of your browser to refuse all cookies or to notify you each time a cookie is sent to your computer, giving you the choice whether to accept it or not.

(b)    We use a variety of physical and electronic security measures, including restricting physical access to our offices, and firewalls and anti-virus software to keep personal information secure from misuse, loss or unauthorised use or disclosure.

(c)    The internet is not a secure environment.  If you use the internet to send us any information, including your email address, it is sent at your own risk.

6.    Access and complaints

(a)    You have a right to access any personal information that GBRF holds about you. You will not incur any fee for accessing your personal information.

(b)    Please contact our Privacy Compliance Officer (see 9 below) to ask for access to your information or if you have a complaint concerning your information privacy.  We may deny your request in some circumstances.  If we do this, we will tell you why.

7.    Accuracy

If you think any information we hold about you is inaccurate, please contact our Privacy Compliance Officer (see 9 below) and we will take reasonable steps to ensure that it is corrected.

8.    Transborder disclosures

GBRF will transfer your personal information outside Australia only if we are satisfied that the recipient will handle the information in a manner that is consistent with the Australian National Privacy Principles under the Privacy Act or if you expressly consent to the transfer.
